Basics

This section gives you an overview of hotComm.


Using
hotComm

To use hotComm:

  1. Start hotComm. Double-click the hotComm startup icon on your desktop.
    - or -
    Select hotComm from the 1stWorks hotComm entries in your Windows Start menu.

    Is your hotComm online yet? Watch the ears on the hotComm headset icon in your Windows taskbar (lower right corner of your desktop). When they change from white to red and blue, then your hotComm is online.

    Also, when Signed out on the bottom line of your hotComm window changes to Online-, then your hotComm is online.
hotComm icons
  1. When you start hotComm, it automatically starts a new session (S1). You can join a room on a CRM Relay, host sessions on your own computer, or join other users' sessions. Also, you can independently share files.

    You are the host when you invite others to your session, or accept calls from hotComm Lite or anyone using a special IM-Live Java link. The host is the only user who can invite others to join the session, eject people, or end the session.

    If you join a room, you may be moderator, presenter, or guest, depending on circumstances.

    Note: You can have more than one session at a time. Each session is numbered (S1, S2, and so on) so you can identify them quickly. To start an additional session, click the New Session button (Green+) in the top toolbar.

  2. To close a session without closing hotComm, click the hotComm Close button (Red X) in the top hotComm toolbar.

To close hotComm, click the Windows Close button in the upper right corner of the hotComm window.

Note: You can configure hotComm to start automatically when your computer starts. More Information: See Set up hotComm in the online User Guide.


How to invite users

In the left-most panel of the hotComm window, there is a list of hotComm users and user groups. (There are several ways to add hotComm users to your list. See Users.)

  1. Click the blue triangles to show or hide the users in a group.

  2. Click the Free symbol in front of a user's name to invite the user to chat with you.

  3. When the user accepts your invitation, you see a message in the top white panel of the hotComm window:

       (your name): Connected [Encryption Active!].
       (user's name): Joining [Encryption Active!].

  4. Start communicating by typing a message in the lower white panel. Then, explore other features. See Features.

Respond to an invitation

When you are invited to a session, you see a message asking if you want to accept the invitation. You can accept, decline, or ignore it.


Status

To change your online status, click the Status button (Headset) in the Middle Toolbar and select a status from the menu.

Or, right-click the hotComm icon in the lower right-corner of your Windows desktop, select My Status, and select a status from the menu.

Simple Control and Toolbar Menu

When Simple Control is enabled, several toolbars and buttons are hidden. hotComm Lite ships with Simple Control enabled.

Use the Toolbar Menu to enable/disable Simple Control and other items.

To open the Toolbar Menu, right-click on any visible toolbar. Click items in the menu to:

  • Show/hide toolbars and other elements.

  • Use your system color as the background color for the panels.

  • Enable/disable Simple Control, which automatically hides the more advanced toolbars and options.

hotComm Icon Menu

The hotComm icon menu contains options for managing your hotComm Lite. To see the menu, right-click the hotComm icon (headset) in the lower right corner of your Windows Taskbar.

Some of the options are:

  • Exit. This stops the hotComm Lite program.

  • New chat session. This opens a new session.

  • My status. Use this to select a new online status.

  • My Info & Registration. This opens My Profile Information, which shows your registration information. Select Register to enter the Unlock Code provided when you purchase hotComm.

  • Resynch User List. Select this to re-send your User information to the 1stWorks VNS server.

  • Autostart. To start hotComm Lite automatically when Windows starts, select Auto Start hotComm.

  • Hide S1 session when minimized. This removes the larger hotComm entry on your Windows taskbar when you minimize Session 1. The small hotComm icon in the lower right corner of your taskbar remains.

  • About hotcomm. This provides release identification information.

Features

hotComm has many features. The features below use the lower white panel, under the Middle Toolbar. Also see: Middle Toolbar, View Selector, and Top Toolbar.

Text chat

Type in the panel underneath the Middle Toolbar. A transcript of messages and responses appear in the panel above the Middle Toolbar.

You can send messages word-by-word (one word at a time), or at the end of a paragraph. To change the method, click the Preferences button (the wrench) and change the Send Message setting. More information: See Behavior Preferences in the online User Guide.


Text
formatting

You can set font, color, and characteristics for different types of messages. To format the text display in your session, click the Preferences button (the wrench) and change the font settings. More information: See Style Preferences in the online User Guide.


Drag & drop
file transfers

During a session, you can instantly send a file to the other hotComm and Java users in the session.

Using My Computer (or other file system manager), find the file, highlight its name, and drag it into the panel under the Middle Toolbar. The file opens automatically in a hotWeb window if the user has an application associated with the file type. (If there is no associated application, then the user can save the file without opening it.)

You can markup the file using Transparent Collaborator or edit it with Collaborate.

hotComm automatically saves the file in the user's hotComm/UPLOADS folder.

Important Reminders: All hotComm Messages are totally PRIVATE between you and your session users. Please respect Copyright Law when making file transfers.

Middle Toolbar Features

These are the Middle Toolbar features. Also see: Features, View Selector, and Top Toolbar.

Note: The Close button appears, and the File Sharing button disappears, when Simple Control is enabled. To enable or disable Simple Control, right-click on any visible toolbar, and select Simple Control from the menu.

Voice
(VoIP)

You can chat by voice, using Voice over IP (VoIP) technology. The Voice button shows the type of Voice Chat available for the current session:

  • Stays on

    Click the Voice button to turn the microphone on. The microphone stays on until you click the button again.

    This method is available unless your session includes IM-Live Java users who are not running freeSpeech.

  • Push-to-talk

    Press-and-hold the Voice button while you record a message. The message is played when you release the button.

    This method is available if any session participants are IM-Live Java users who are not using hotComm freeSpeech.

Note: freeSpeech is the IM-Live streaming audio Java applet that gives IM-Live Java users the ability to speak as well as hear. Without freeSpeech, Java users can hear but not speak.

To change volume settings, right-click the Voice button to change volume settings.

Webcam
(video)

During a session, you can send full motion video.

To send full motion video, click the Webcam button (camera lens). This opens the hotCam Video Preview window. The Video Properties section of that window opens the camera's software interface, which you can use to adjust settings.

Sounds
(ear)

hotComm provides a set of sounds that you can send during a session. hotComm and IM-Live Java users can hear the sounds through their computer speakers, and see text such as <Applause!> in the panel above the Middle Toolbar.

To send a sound, click the Send Sounds button (Ear) and select a sound from the menu.

Status
(Headset)

Change your status. Right-click and select a status from the menu. Or, left-click to change to your most recently selected status. See Status.


File Sharing
(2 arrows)

Make files available to other hotComm users, and download files from them. File transfer happens when you are both online, but does not require that you are in an active session. See File Sharing below.


Add User
(person)

To add users to your User List, click this button. See Users below.


Preferences
(Wrench)

To set preferences for hotComm activities, click the Preferences button (Wrench). For more information, see Preferences in the online User Guide.


Abbreviation Expansion
(AE)

You can create prepared responses that save you from repeated typing, recording and sending of frequently used phrases and files. To create a prepared response:

  1. Click the Abbreviation Expansion button (AE)

  2. In the Abbreviation Expansion window, click <new entry>, enter an abbreviation, and press your Enter key.

  3. Find your new abbreviation in the abbreviation list and highlight it.

  4. In the expansion area: click in the Message area and type a phrase; and/or select an emoticon from the lineEnder menu; and/or record a message (push-and-hold the REC button while you record); and/or click the Import button and select a .WAV file; and/or enter (or browse for) the location of a file or URL you want to send with the response.

    Each abbreviation can include one message, one emoticon, one audio recording (or .WAV file) and one file.

  5. Click OK to save.

To use the abbreviation, type it in the panel underneath the Middle Toolbar. For example, an abbreviation might be "G1", which could expand to "Good morning, how can I help you?".

To create a Voting Poll, type V: (V follwed by a colon) and click the Test/Edit button. This opens the Voting Poll Wizard. Fill in the Voting Poll options, and click Test. When you are satisfied with the poll, click Edit and then Ok. The poll appears in your AE as:

V:question:seconds-to-answer:value:label[:value:label]:result-type

For example:    V:Can you hear me?:15:0:No:1:Yes:P

This displays the question "Can you hear me?", gives users 15 seconds to vote, and offers the choices of 0 for No and 1 for Yes. Results are public, displayed to all participants.

hotCam
(camera)
During a session, you can send screenshots of your desktop or material on a scanner or other Twain device. You can also share an application running on your desktop.

hotCam can send images in several methods:

  • still (single screenshot)

  • still collaborative (screenshot that you can mark-up)

  • timed (repeated screenshots of the same window)

  • Dynamic Desktop (share an application that is running on your desktop. Users can see and interact with the actual application)

  • Twain captures (images captured through a device that supports Twain, such as a scanner).

To send a screenshot, right-click the hotCam icon (camera) and select Still, Still collaborative, or Timed. The icon may change. Left-click the icon and move it to the window containing the material you want to send. Click the title bar of that window to bring it into focus, and then click in the body of the window to send the screenshot.

On each user's computer, the screenshot displays in a hotCam window, and is saved automatically in the user's hotComm/UPLOADS folder.

Application Sharing (Dynamic Desktop)
To share an application, right-click the hotCam icon (camera) and select Dynamic Desktop. The icon changes to a videocamera with a D in the corner. Left-click the icon and move it to the window containing the application you want to share. Click the title bar of that window to bring it into focus, and then click in the body of the window to begin sharing.

Users receive the application in a Dynamic Desktop window. To request or yield control of the application, they right-click the DD icon in the title bar and select an option, or (if they are Java users) select a button from the window toolbar.

Twain captures
For a Twain capture, right-click the hotCam icon (camera) and select a device from the hotCam menu. The hotCam icon changes to a framed painting. Then, left-click the hotCam icon. This opens the device's software interface, which you can use to adjust settings.

View Selector Features

These are the View Selector Toolbar features. Also see: Features, Middle Toolbar, and Top Toolbar.

Note: The View Selector toolbar disappears when Simple Control is enabled. To enable or disable Simple Control, right-click on any visible toolbar, and select Simple Control from the menu.

User List

To show or hide the User List, click the User List button (Two people).


Invited Users Panel

To show or hide the Invited Users Panel, click the Invited Users button (yellow window). This panel shows the nicknames of everyone who is connected in this session.


hotWeb

To show or hide the hotWeb toolbar, click the hotWeb button (Globe).

During a session, you can show Internet pages to the others in the session. To send a web page, enter its address in the hotWeb toolbar, in the Address field. The pages display in a hotWeb window. You can:

  • Navigate jointly. Select Navigate or Full Control from the hotWeb Collaborate menu, and then click the links.

  • Mark-up the page using Transparent Collaborator.

WhiteBoard

Use the WhiteBoard to draw and type onto a plain white background. A Selections toolbox gives you a choice of colors, line widths and other characteristics. The WhiteBoard and the hotWeb Transparent Collaborator are similar, except for the background.

To open the WhiteBoard, click the WhiteBoard button on the Top Toolbar. The Whiteboard opens in a hotWeb window.

To send or email a screenshot of the Whiteboard (with mark-ups) to all session users, select Send Screenshot or Email Screenshot from the hotWeb Collaborate menu.

Transparent
Collaborator

You can mark-up and draw over the contents of a hotWeb or Whiteboard window. From the hotWeb Collaborate menu, select Transparent Collaborator. This brings up the Selections Toolbox, which has options for color, line width, text, area, and more.

To send or email a screenshot of your current hotWeb window (with mark-ups) to all session users, select Send Screenshot or Email Screenshot from the hotWeb Collaborate menu.

Collaborate

You can edit the contents of a hotWeb window. From the hotWeb Collaborate menu, select Full Control. Any user who has selected Full Control may edit the file at the same time. To prevent other users from editing while you edit, select Exclusive Control instead.

Top Toolbar Features

These are the Top Toolbar features. Also see: Features, Middle Toolbar, and View Selector.

Operation Mode

To select a mode for using hotComm, click the Operation Mode button (M) in the Top Toolbar and select the way you want to run your hotComm. As shipped, hotComm is in Normal User Operation mode.

New
and
Close

To open a new session, click the New (Green +) button.

To close the session, click the Close (Red X button.


Transcripts

To open the transcript of a previous session, click the Open Session Transcript button (folder) and browse for the transcript you want to open. Transcripts are stored as .hcs files.

You can save, print, and email transcripts of the text displayed in the panel above the Middle Toolbar.

  • To save a transcript, click the Save Session Transcript button (diskette) in the Top Toolbars, and enter a filename and location. The transcript is saved in rich text format (RTF), with a .HCS extension.

  • To print a transcript of an open session, click the Print button (printer) in the Top Toolbars.

  • You can email a transcript of an open session directly from hotComm, in rich text format (RTF) or plain text. To email the transcript, click the Email Session Transcript button (mailbox) in the Top Toolbars. An email message opens for you to complete and send.

    To change the email options, click the Preferences button (the wrench) and change the Email Transcript settings. More information: See Behavior Preferences in the online User Guide.

Edit
buttons

The Cut, Copy and Paste buttons have standard Windows Edit behavior.


Print
buttons

The Print, Print Preview and Page Setup buttons have standard Windows Print behavior.

Users

You add hotComm users to your user list. Once added to your user list, they remain in your list until you delete them.

You can create groups of users, making it easy to invite many users to a session at once or to share the same files with multiple users.

Note: Java users and hotComm Lite users are not included in your User List.


Add a User

To add a hotComm user, click the Add a User button (+ person) in the hotComm middle toolbar.

This opens the Add User window. In this window:

  1. Enter the email address of the person you want to add.

  2. Click Search.

  3. If the person is a registered hotComm user, their name and current status will appear. To add them to your User list, click Add User w/o email.

  4. If the person is not a registered hotComm user, enter a Full name and Display name for them and click Add USer and email. We will send an email on your behalf, inviting them to download hotComm.

Automatic
Adds

Users are added automatically when:

  • You acceptiinvitations from them for the first time.

  • Someone in a session drags user names from their User List into the panel underneath the Middle Toolbar.This sends the user address to everyone in the session.

  • You import then from email. More information: See Import Users from Email in the online User Guide.

User List

To set characteristics for a user, and see the user's profile, select options from the User Menu. Right-click the user's name and select an option from the User Menu.

IM-Live

With IM-Live, anyone with an Internet browser can connect to your hotComm session by going to your IM-Live address or clicking a link to your IM-Live address. They connect with either the IM-Live Java applet client (no download required) or a hotComm Windows client (if one is running at the time).

IM-Live links can be implemented with dynamic graphics that change with your hotComm online and offline status.

Your IM-Live address is: http://website.im-live.com/im-live/

where website is the WebSite name you chose during hotComm registration. (To find your IM-Live and ezPeer addresses, right-click the hotComm icon in the lower right corner of your Windows taskbar. From the menu, select My Info & Registration.

ezPeer

ezPeer lets others access pages on your computer through a standard Internet URL address. Your ezPeer address points to the hotComm/WEB folder on your computer.

Your ezPeer address is: http://www.website.ezPeer.net/

where website is the WebSite name you chose during hotComm registration. (To find your IM-Live and ezPeer addresses, right-click the hotComm icon in the lower right corner of your Windows taskbar. From the menu, select My Info & Registration.

File Sharing

You can get (download) files from other users, and you can make files available for them to transfer to their computers (upload). hotComm must be running on both computers in order to transfer files, but you do not need to be in a hotComm session at the time the files are transferred.

Important Reminders: All hotComm Messages are totally PRIVATE between you and your session users. Please respect Copyright Law when making file transfers.

To open File Sharing, click the File Sharing button (two arrows) in the hotComm Middle Toolbar.




My InBox Select the My InBox tab to get files (or folders).
  1. Expand user group folders until you open the user's folder.
  2. Right-click on the file (or folder) you want.
  3. Select Get (to get the file now) or Auto Update (to get the file automatically whenever hotComm detects updates).
  4. When prompted, select a location where you want to put the file (or folder).

My OutBox Select the My OutBox tab to make files available to individual users or user groups.
  1. In the lower pane, expand folders until you open the user's folder.
  2. In the upper left pane, navigate your computer until you reach the folder than contains the file you want to transfer. Highlight it, so that its contents display in the upper right pane.
  3. Drag the file into the user's folder.
 
Transfer Notification A Transfer Notification window appears when files are transferred. Download means that files are transferred to you. Upload means that files are transferred from you to another user.


Refresh

It is recommended that you refresh the file list before you retrieve files. Click the Refresh button (circled arrows).

File Sharing Toolbar


Content Search

Search My InBox and My OutBox with wildcards, using an asterisk (*) as the wildcard. For example, to search for all text files, enter: *.txt


User Presence A green dot next to a user's name means that the user is online for file sharing. Although you can make files available to users when they are offline, you cannot get files from them unless they are online.
